Retreat Booking Terms

Flowee by Emily Eileen | Wild Presence Retreat
Zimbabwe & Botswana | April 3–10, 2027

The retreat includes one night in Victoria Falls (April 3, 2027), followed by the main safari and retreat experience in Botswana.

By submitting your deposit, you acknowledge that you have read, understood, and agreed to the following terms and conditions for participation in this retreat hosted by Flowee by Emily Eileen (“we,” “us,” or “Flowee”).

Booking & Payments

All prices are per person and listed in USD.

A non-refundable deposit of $1500 USD is required to secure your spot.

The retreat fee includes:

  • One night in Victoria Falls (April 3, 2027)

  • All included accommodations and experiences from April 3–10, 2027 as outlined on the retreat webpage

Upon booking, you will receive a welcome email with detailed retreat information, travel guidance, and payment instructions.

Payment plans may be available upon request, subject to availability and agreed timelines.

Final payment is due by January 20, 2027.

Failure to complete payment or communicate by the deadline may result in cancellation of your spot, with all deposits and prior payments forfeited.

Cancellation Policy

If you need to cancel:

Within 3 days of booking:
You may receive a full refund (including your deposit), unless your booking occurs after January 20, 2027.

Before January 20, 2027:
All payments minus your non-refundable $1500 deposit will be refunded.

On or after January 20, 2027:
No refunds will be issued under any circumstance.

Due to the nature of international travel, safari logistics, cross-border coordination, and contractual commitments with local partners, no exceptions can be made.

We strongly recommend purchasing comprehensive travel insurance (see below).

Retreat Changes & Force Majeure

Flowee reserves the right to make changes to the venue, accommodations, retreat leaders, schedule, transportation logistics, or itinerary if necessary due to illness, weather, wildlife considerations, political conditions, travel disruptions, border regulations, or other unforeseen circumstances.

In the event that Flowee must cancel or significantly alter the retreat:

  • You may transfer your deposit to another Flowee retreat within 12 months, subject to availability.

  • All other payments will be forfeited unless otherwise stated.

  • No additional refunds, reimbursements, or compensation will be provided.

Flowee is not responsible for airline cancellations, border closures, visa issues, or personal travel disruptions.

Health, Safety & Personal Responsibility

By registering, you acknowledge that:

  • You are in good physical and mental health and able to participate in yoga, safari travel, and nature-based activities.

  • Safari environments involve inherent risks, including wildlife encounters, uneven terrain, remote locations, heat exposure, and limited access to medical facilities.

  • Cross-border travel between Zimbabwe and Botswana may involve immigration procedures and varying local regulations.

  • You voluntarily assume full responsibility for any risks, injuries, illness, emotional distress, or losses incurred during the retreat.

All participants will be required to complete a waiver of liability and health declaration prior to attending.

Flowee is not responsible for injury, illness, emotional harm, theft, property loss, delays, or travel disruptions.

Travel, Insurance & Documents

You are responsible for arranging and carrying all required travel documentation, including:

  • A valid passport (with appropriate validity period)

  • Any required visas for Zimbabwe and/or Botswana

  • Recommended or required vaccinations

We strongly recommend purchasing comprehensive travel insurance that includes:

  • Emergency medical coverage

  • Medical evacuation coverage (especially important in safari regions)

  • Trip cancellation and interruption insurance

  • “Cancel for any reason” coverage

Failure to secure appropriate insurance does not alter Flowee’s cancellation or refund policies.

Communicable Illness Policy

If public health guidelines require adjustments (testing, itinerary changes, or safety protocols), Flowee reserves the right to implement them for group safety.

If you are unable to attend due to illness, no refunds will be issued; however, you may be eligible to apply your payment toward a future Flowee retreat at Flowee’s discretion.

Photography & Media

Photos and video may be captured during the retreat. By attending, you grant Flowee by Emily Eileen permission to use your likeness for promotional purposes unless you notify us in writing prior to the retreat.

If you voluntarily share photos, videos, or written reflections after the retreat, you grant Flowee permission to use this content for marketing and communications, with appropriate credit where possible.

Conduct & Participation

Flowee reserves the right to remove any participant whose behavior is disruptive, unsafe, or disrespectful to the group, guides, staff, wildlife, or local communities, without refund.

Participants are responsible for their own conduct, choices, and well-being throughout the retreat.

By submitting your deposit, you confirm that you have read, understood, and agreed to these terms and conditions.
